When you log in to your Student Portal, we will set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks.

4. How We Use Your Data & AI Anonymization

We use your data strictly to deliver and improve our services to you, populate your secure customized dashboards, and process your membership.

  • App & AI Improvement: To continuously improve the Hope4Med experience across all of our current and future software applications, and to train our artificial intelligence (AI) models, we may anonymize and aggregate your data. This means we strip away all personally identifiable information so the data can never be traced back to you. We use this anonymized data to identify trends and enhance our predictive algorithms for all healthcare pathways we serve.

  • Personalized Recommendations: We may use your specific user profile (such as academic history, stated goals, and application progress) to curate and recommend relevant third-party educational partners, advising services, and resources that align with your strategic medical school journey.

5. Who We Share Your Data With

We do not sell your personal data. We share necessary data with trusted third-party service providers (such as payment processors, Uncanny Automator, and secure hosting environments like Appsmith) solely for the purpose of operating our business. If you request a password reset, your IP address will be included in the reset email.

While we may recommend trusted third-party educational partners or affiliate services based on your profile, we do not directly share or sell your personal identifiable information (PII) to these partners. Any interaction you choose to have with our recommended partners is entirely voluntary, handled directly by you, and is subject to their respective privacy policies.

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

9. Enterprise Consulting, Bulk Licensing, and Clinical Software (HIPAA)

Hope4Med operates across distinct educational, organizational, and clinical divisions. Data privacy standards vary depending on the specific service or software utilized:

  • Educational Bulk Licensing: When an organization purchases bulk access to our educational software (e.g., PreMed Vitals), the purchasing organization does not have access to the individual end-users’ private dashboards or academic history. End-user data remains strictly confidential between the individual user and Hope4Med.

  • Organizational Wellness Audits: Data collected from medical staff during burnout audits or surveys is strictly aggregated and anonymized before being presented to organizational leadership. We do not share individually identifiable responses.

  • Clinical Operations & HIPAA Compliance (Clinical SaaS Applications): Hope4Med’s clinical workflow software—including EM ChartVitals and all subsequent specialty SaaS applications—is designed to be fully HIPAA-compliant. When these cloud-based tools are utilized by healthcare organizations, they operate strictly under the terms of a mutually executed Business Associate Agreement (BAA). For these specific clinical applications, Hope4Med implements enterprise-grade administrative, physical, and technical safeguards to protect any potential electronic Protected Health Information (ePHI) in accordance with federal healthcare regulations. Data processed through our clinical SaaS platform is governed entirely by the BAA and the purchasing organization’s internal compliance policies.
